In the event that a canceling passenger is able to provide an appropriate substitute for that canceled space there will be an administrative charge of $100.00. However, this fee only takes effect within 60-days prior to departure. Any name changes prior to 60 days are free of charge. All substitutions must follow the same itinerary as the passenger replaced with the exception that there may be occasions where the substitute may wish to purchase additional options. In this event, we will make every effort to satisfy such requests. SUBSTITUTIONS CAN ONLY BE MADE IN ACCORDANCE WITH THIS PROVISION UP TO 45 DAYS PRIOR TO DEPARTURE. WITHIN 45 DAYS OF DEPARTURE, ALL TARIFF RULES AND PENALTIES WILL APPLY.
ITINERARY CHANGES, DEVIATIONS
Passengers requesting an itinerary that differs from the group must submit your request in writing up to 60 days prior to departure. Holidaze will, in turn, advise options as well as any additional costs that may apply. However, it must be noted that airline tariffs will only allow a maximum of 10-20%, of group per total airline to deviate from the original confirmed itinerary. Also, please note that deviations can be requested for return flights only.
All U. S. Citizens participating in this tour program are required to possess a U. S. Passport valid for at least 6 months beyond the return date of the tour. Non - U. S. Citizens participating in this tour must check with the appropriate consulate for all countries being visited and transited to ensure that they have met all entry requirements. It is the participant’s responsibility to be sure that all proper entry requirements are met and all the appropriate documents are current.
It is customary for airlines to allocate a section (or block) of seats when booking groups. It is understood that the group is usually seated in this block of seats and requests for aisle or window seats cannot always be accommodated due to the limitations required by the seat block. Requests for special seats can be taken, but cannot be guaranteed. Exit row and/or bulkhead seating is only assigned at the airport.
Airfare in conjunction with this program is the actual airfare in effect for 2014; however these are still subject to change until booked. While the package does include the additional fuel surcharges and departure taxes associated with the airfare, as indicated, they are subject to change at any time by the airlines and completely out of our control. Rates may be affected by subsequent surcharges deemed necessary by various government agencies or by airlines due to increases for fuel charges or other reasons beyond our control. Airline taxes are subject to change until ticket is issued. In addition FWSA or Holidaze is not responsible if an airline cancels, reschedules, or delays a flight for any reason. FWSA or Holidaze is not responsible for and cannot provide any refund for portions of trips missed due to canceled, rescheduled, or delayed flights. In this instance we highly recommend Travel Insurance. Optional Travel Insurance information is provided.
For those arranging airfare on your own, you are responsible for your own transportation to and from the airport and hotel, if your air schedules do not match what we have arranged for the group. In the event land-only people need separate transfers, we will assist you in arranging them, but you must be aware that any extra transfer not in association with the group transfers will result in additional charges.
Before embarking on this tour, it is important that each tour member be fully aware of the baggage restrictions. It is recommended that you verify with the airlines exactly what their baggage allowance is prior to departure. They can and do change their policies! In the past, if you were traveling with a ski bag and boot bag, these were considered 1 piece. Therefore, you would be charged for 1 additional bag. However, the airlines define a ski bag as a bag that contains 1 set of skis, poles and bindings. A boot bag contains 1 pair of boots and helmet. If your bag contains more than these items, the airline may charge you for excess baggage. Any additional luggage will be subject to excess baggage charges.
Far West Ski Association highly recommends that participants obtain travel insurance.
We suggest you check different vendors and select the one that best meets your travel/accident insurance needs. We also suggest checking with your health care insurance provider to understand European medical coverage including ski slope airlifts, etc. We cannot recommend an insurance carrier. Find options in the Travel section of the FWSA website. Our tour operator, Holidaze Ski Tours does offer the following trip cancellation/interruption insurance.
OPTIONAL "CANCEL FOR ANY REASON" PROVISION
For an additional 50% of the insurance premium, you can add this benefit which allows you to cancel for ANY REASON up to the day of departure and receive 75% of your total trip cost refunded. (Only available though Travel Insured International, option must be purchased within 14 days of receipt of contract and it is not valid for residents of the State of Washington.)
PRIVATE PROPERTY, LUGGAGE DAMAGE, ETC.
Personal property, including luggage is at the owner’s risk unless insured. Damage or theft of such items during travel and handling does not fall under the responsibility of the Tour Operator. It is expected that normal handling can, and sometimes does, cause damage to luggage and or personal effects. The above insurance can cover such loss and it is recommended that you consider the benefits of enrolling in the Trip Cancellation Insurance program.
Please note that most insurance forms must be completed with the amount of coverage circled and sent with payment within a specified time period. Also note that most insurance premiums are not refundable and pricing is subject to change.
